By booking and participating in an Active Okinawa tour, you agree to the Terms and Conditions below, along with our Cancellation Policy.
1) Reservations and Payment
Full payment is required at the time of booking. Payment can be made by credit card or other approved payment methods.
2) Minimum Participants
Some tours require a minimum number of participants to operate. If the minimum is not met, Active Okinawa may cancel the tour. If we cancel due to minimum numbers, you will be offered a full refund or the option to reschedule (subject to availability).
3) Cancellation Policy
If you cancel your booking, the following cancellation fees apply:
- 7+ days before the tour date: Full refund
- 6–3 days before the tour date: 50% refund
- 2 days before the tour date or later (including no-shows): No refund
4) Weather and Safety
Tours operate in natural environments and conditions can change quickly. For safety reasons, Active Okinawa may cancel, reschedule, shorten, or modify a tour due to weather, sea/river conditions, trail conditions, or other factors. If we cancel due to safety concerns, you will be offered the option to reschedule or receive a full refund.
5) Insurance and Medical Costs (Important)
Active Okinawa prioritizes safety, but participation involves risks that cannot be completely eliminated.
Guests are responsible for arranging their own travel/medical insurance that covers their time in Japan and any activities they plan to join. In the event of illness, injury, or accident, guests are responsible for medical costs and related expenses (including transport, treatment, and any ongoing care) to the extent these costs are not covered by their own insurance.
From time to time, Active Okinawa may arrange limited basic accident cover for certain tours/dates. If provided, this cover may have limits, exclusions, and claim procedures and is not a substitute for comprehensive travel/medical insurance.
By joining the tour, you confirm you have appropriate insurance or accept responsibility for any costs not covered by insurance.
6) Health and Participation Requirements
Guests must be in suitable health and physical condition for the tour. You must follow guide instructions at all times. If a guest behaves in a way that is unsafe, disruptive, or increases risk to themselves or others (including ignoring guide instructions), Active Okinawa may end their participation for safety reasons.
7) Personal Belongings
Active Okinawa is not responsible for loss, theft, or damage to personal belongings during the tour.
8) Personal Information
Personal information provided by guests is used only for booking, tour operations, and safety purposes, and will be handled appropriately. We do not sell or share personal information with third parties except where required by law or where necessary for tour operations (for example, emergency response).
9) Photos and Videos
Photos and videos taken during tours may be used on our website and promotional materials. If you do not want your image used, please inform us in writing before the tour begins.
10) Changes to Terms
Active Okinawa may update these Terms and Conditions and the Cancellation Policy from time to time. The latest version published on our website applies.

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

Media
